Case Study
Real Estate Acquisition + Completion Coordination + Ongoing Property Management (Anonymised)
Client: Overseas buyer acquiring a Cyprus residential property (anonymised)
The client needed a controlled sequence across parties (seller/developer, lawyers, bank/payment steps, and local authorities). The main risk was delay due to missing documents or unclear ownership of actions.
MegaServe used a single plan with responsibilities, deadlines, and an actions/issues log. We coordinated document checks, signatures, payment sequencing, completion steps, and post-completion setup. After closing, we supported ongoing tasks (utilities, renewals/maintenance coordination, and records).
Result: completion landed on the agreed target date with all conditions precedent cleared, the buyer took possession with utilities, insurance, and local authority registrations already active on day 1, and ongoing property management switched seamlessly into a monthly reporting cycle — no remedial work post-closing.
Risk & Notes
- Scope creep: project deliverables should be agreed in writing before work begins to prevent budget overruns.
- Regulatory dependencies: government-facing milestones (permits, approvals) follow their own timelines and cannot be accelerated.
- Multi-party coordination: projects involving several professional firms require a single point of accountability to avoid gaps.
FAQs
Do you replace internal project managers or consultants?
No. We run the PMO and governance, integrate with your team, and coordinate vendors. Specialist design/build tasks remain with internal teams or appointed firms.
What tools do you use for scheduling and tracking?
We adapt to your toolset and we can provide simple templates for plan, RAID, actions, and decisions.
Can you help with projects involving regulators, banks, or authorities?
Yes. We track timelines and evidence lists and keep liaison notes. Regulatory positions and submissions remain with your licensed advisors.
How do you handle change requests without derailing timelines?
We log changes with scope/cost/time impact, get owner approval, and schedule changes against priorities and buffers.
Do you guarantee deadlines?
No. Delivery depends on third parties and data quality. We set realistic gates, flag risks early, and keep decisions documented.
What is a PMO and why do I need one?
A PMO (Project Management Office) is a coordination function that keeps a project on track: maintaining the plan, tracking risks and issues, coordinating vendors, and reporting progress to decision-makers. You need one when a project involves multiple parties, dependencies, or deadlines that no single team member can manage alongside their day job.
How do you price project management engagements?
We offer fixed-fee scoped packages (charter, plan, RAID setup, handover pack) or monthly retainers for ongoing PMO coordination through delivery and close. Fees depend on project complexity, duration, workstream count, and reporting cadence. We quote in writing after a scoping call, and only proceed once you've signed off the budget. Vendor/specialist work is scoped separately by the providers you appoint.
